- Account information such as your name, email address, authentication identifiers, and profile preferences.
- Practice content such as selected tracks, station attempts, answers, transcripts, feedback reports, and progress history.
- Audio files for transcription, processed so spoken answers can become transcripts for feedback.
- If you use camera practice mode, an aggregate presence summary (such as eye contact and posture percentages and counts) generated from your video. The video itself is analysed locally in your browser and is never uploaded or stored by Hebbian.
- CV or portfolio material if you choose to upload it for extraction or profile setup.
- If you opt into the peer-practice room, your selected profile photo, broad location, professional role, time zone, background, practice goal, availability, session messages, private ratings/tags, safety reports, and room participation events needed to operate the session.
- Billing and credit information, usually processed through payment and entitlement providers rather than stored directly by Hebbian.
- Technical information such as device, browser, logs, usage events, and error traces needed to operate and secure the service.
2. How we use information
We use information to provide practice stations, transcription, rubric-led feedback, progress tracking, account access, billing, safety controls, support, and product improvement.
Candidate achievements extracted from a CV should not influence feedback until you review and accept them.
3. Audio, presence and CV retention
Raw audio recordings remain stored and downloadable for the full duration of your access plan plus a seven-day deletion buffer. If you buy a new pass during that buffer, availability extends until seven days after the new pass expires. We then delete the raw audio.
You can download a recording or delete it earlier at any time. Deleting audio does not delete the transcript, feedback, or scores in your practice history.
A presence summary from camera practice mode is stored with its attempt and deleted along with your other attempt data when that attempt is deleted.
Peer video is streamed through the configured video provider for the scheduled session. Hebbian does not record or transcribe peer calls. We retain only the minimum private room lifecycle/presence data needed to enforce the time limit, calculate completed-session counts, investigate safety reports, and operate support workflows. Peer messages are closed after the session window and normally deleted after 30 days; unresolved safety reports may require longer retention.
Peer profile photos are normalised to a bounded WebP, stripped of metadata, and shown only to eligible matched partners or people in a shared session. Removing a photo removes the stored image.
CV uploads should be deleted after extraction unless you choose to retain them for profile or portfolio features.
4. Service providers
Hebbian may use providers for authentication, hosting, storage, payments, transcription, AI routing, logging, analytics, transactional email, and peer video (currently Daily). These providers process data only where needed to deliver the product.
5. Your choices
- You can ask for access, correction, deletion, or export of your personal information.
- You can choose not to upload audio or CV material, and not to use camera practice mode, where those features are optional.
- You can contact us about privacy questions or retention requests.
6. Safety boundary
Hebbian is for interview preparation only. Do not include patient-identifiable information, live recruitment material, or confidential workplace material in your answers or uploads.
